FlagPace
Answers for flat-rate techs
FlagPace is a personal tracker for flagged hours and estimated pay. It is not a time clock, and not your shop’s payroll.
Flagged hours, in one paragraph
Flagged hours are book time, the hours the shop billed, not clock time. FlagPace multiplies those hours by your rate on that date. It is not a time clock, not efficiency, and not your shop’s DMS. The DMS is still the source of truth for what you are owed.
Start here
Log a job. The + button on every screen. Date defaults to today. Aim for under 15 seconds. Confirm your rate. Settings → Pay. Until then FlagPace uses $30/hr and keeps a banner up so a guessed default does not silently sit there. Hide dollars on a shop tablet. Privacy Mode turns amounts into ••••. Hours stay visible.
Answers
What are flagged hours?
Book time: the hours the shop billed for a job, not how long you were on the clock. FlagPace stores those hours and the pay they estimate from your rates. Clock time never goes in.
What does FlagPace track?
Flagged hours (flat-rate / billed hours) and the pay those hours estimate from your rates. It is not a time clock, not efficiency, and not your shop’s DMS. Clock time never goes in.
Does FlagPace connect to my shop’s DMS?
No. There is no DMS, RO, or shop integration. You type the jobs. Your shop’s system stays the source of truth.
Is this my paycheck?
No. Estimates are a personal tracker. Your shop’s payroll and DMS are the source of truth for what you are owed. If a rate or job is wrong, the number is wrong.
Do I have to finish setup?
No. Skip onboarding and start logging. FlagPace uses a default rate of $30/hr until you confirm or edit rates in Settings → Pay. A banner stays up until the rate is confirmed so a guessed default does not silently sit there.
How do I log a job?
The + button on every screen. Date defaults to today, category and pay type remember the last ones you used, hours is focused. Description is required (even a short one). Aim for under 15 seconds. RO number is optional.
Can the whole shop share one account?
No. One person per account. FlagPace is not shop payroll and has no multi-user shop login.
Do I need my shop’s permission?
FlagPace is a personal tracker on your account, not shop payroll. Follow your shop’s rules about what you copy off an RO. Do not type shop-customer names, VINs, license plates, or phone numbers into FlagPace.
What should I put on a job?
Hours, date, category, pay type, and a short description you can search later. RO and line are optional. Do not type shop-customer names, VINs, license plates, or phone numbers into the RO or description.
Can I edit or delete a job?
Yes, from Jobs. Free can only change jobs inside the last 14 days. Older jobs stay saved on the account; open or edit them after Pro. Deleted jobs go to Archive; you can restore or hide them permanently from Settings → Archive.
Why can’t I save a date?
Dates cannot be in the future. Hours must be from 0.1 to 99.90. Free cannot save a date outside the last 14 days.
What’s the difference between category and pay type?
Category is the kind of work (brakes, diag, …). Pay type is how it pays (customer pay, warranty, …). Rates can differ by pay type. You can rename or add both under Settings → Pay; existing jobs keep what they had.
How is estimated pay calculated?
Flagged hours × the rate in effect for that job’s pay type on that date. If no rate covers that date, estimated pay is blank, not $0. Spiffs, guarantees, and what the shop actually closed are not in FlagPace.
Why doesn’t estimated pay match my check?
FlagPace only knows the jobs and rates you typed. It does not see spiffs, guarantees, insurance, or what the shop actually closed. Treat it as a running estimate, not a paystub.
What does “No rate on this date” mean?
There is no rate row that covers that job’s date, so estimated pay is blank, not $0. Add or extend a rate in Settings → Pay. The job still saves.
I got a raise. Do old jobs change?
Add a new rate starting on the raise date. Jobs before that date keep the old rate. If you edit the dollar amount on an existing rate row, jobs on those dates will recalculate. That is a correction, not a raise.
How do warranty or goodwill rates work?
Give those pay types their own rate rows. A job uses the rate in effect for its pay type on that date.
I changed my pay period and the reports look different.
Job dates and rates do not change. Report buckets rewrite to one live grid (weekly, bi-weekly, or custom). Confirm in Settings → Schedule before saving.
How does weekly pace / the goal work?
Set a weekly hours goal on Checks & hours in Settings → Schedule. Pace vs that goal uses Monday to Friday, minus any day you marked holiday or PTO. Saturday, Sunday, and those marked days still count in hours and estimated pay. Clear the goal if you do not want pace.
Why don’t Saturday hours count toward pace?
Saturday, Sunday, and marked holiday or PTO days still count in hours and estimated pay. Pace vs weekly goal uses Monday to Friday only, minus those marked days. The weekly goal is flagged hours, not dollars.
Do holidays and PTO count toward my weekly goal?
No. A marked holiday or PTO day is not a workday for daily average or the weekly goal. A 40h goal on a 4-day holiday week is 32h. Flags you still log that day still count in hours and estimated pay. Reports print HOL or PTO in green; digest emails say Holiday or PTO. Named holidays stay in Settings. There is no holiday pay. Mark days in Settings → Time off.
When is payday in FlagPace?
You set pay weekday and how many weeks behind (default Friday, one week). Payday is derived from the pay-period window. There is no separate paid/pending flag on a job.
I changed timezone. Did my jobs move?
Job dates stay the calendar days you entered. “Today,” weeks, and the Free window follow the new timezone. Change it on Checks & hours in Settings → Schedule.
What does Privacy Mode do?
It hides dollar amounts as •••• so someone glancing at a shop tablet does not see pay. Hours stay visible. Toggle it in the header or Settings → Preferences. Optional: re-hide after inactivity (30 seconds to 5 minutes). It never auto-reveals.
Is Privacy Mode encryption?
No. It is a shoulder-surf hide. Amounts still live on the server and in exports. Turning it off does not need a reload.
I turned Privacy Mode on. Why did an email still show dollars?
Emails use a separate “Include dollar amounts” switch (off by default, Pro). Privacy Mode does not control mail.
What does Free include?
The last 14 days of jobs, hours, estimated pay, weekly pace, Quick Add, and Privacy Mode. Free is not a trial and does not expire.
Do I lose jobs if I don’t subscribe?
No. Older jobs stay saved. You just cannot open, edit, or export them until Pro. Deleting the account is what removes FlagPace’s copy.
What’s on Pro?
Full history, pay-period reports, longer-term pace, CSV export, and optional paycheck-preview emails. $7.99/month or $69/year, USD. No trial. Stripe Tax is off; Checkout charges the listed price.
How do I export jobs to CSV?
CSV export is Pro. On Jobs, tap Export CSV. Free sees a paywall instead of a file. Optional paycheck-preview emails can include a time-limited CSV link; that is separate. Privacy Mode does not hide amounts in the export.
How do I cancel? Do I get a refund?
Billing (log in first) → Stripe customer portal. You keep Pro through the end of the paid period, then Free visibility. No refunds for unused time except where the law requires them. If a renewal fails, Pro stays for 3 days, then Free rules apply until payment works.
Is a shop tablet safe?
Use a password on shared devices. Do not enroll a passkey on the shop tablet. Passkeys belong on a personal phone. Optional Google sign-in asks which Google account so the tablet’s Chrome login is not reused silently. Log out when you walk away. Session idles out after several hours.
Can I use FlagPace on my phone and the shop computer?
Yes, in the browser. There is no native iOS or Android app. Use a password on shared shop devices. Do not enroll a passkey on the shop tablet. Passkeys belong on a personal phone.
How do I sign in?
Email and password always work. Optional passkey (after password confirm in Settings). Optional Google when enabled. We do not auto-link just because the email matches.
Can I download or delete my data?
Settings → Account. Log in first. JSON export, or delete the account (Stripe is canceled first; Stripe may keep customer records).
What email will I get?
Password reset and account/billing notices. Pro can opt into recaps (daily, weekly, payday, pay-period-end, monthly). Unsubscribe in the message or Settings → Preferences. No advertising newsletters.
